What data is used

Collaboration solution can be used with two types of data:

1) Passive data sources. Slack, MS Teams, Google Calendar etc. Only interaction metadata such as time, sender and recipient, is used to understand who works with whom - Teamspective does not read message contents.

2) Surveys sent to employees. The survey contains 10 statements, asking your employees to name which people they collaborate with, get information or advice from, or look for to get energy or faster progress.

Data processing and privacy compliance (GDPR in EU)

Companies can justify processing of collaboration data based on their Legitimate Interest to ensure successful workplace interactions, productivity and performance, leading to sustainable business.

If your organization has not used this kind of data before, it may be necessary to perform a Data Processing Impact Assessment (DPIA) to document the data processing purpose, methods and restrictions. You can use these ready-filled templates to speed up the process: DPIA Guidance and Templates.

Your privacy policy

If your organization has not used this kind of data before, it may be necessary to update the privacy policy to ensure employees are informed and have accepted the use of data.

Here is an example wording:

Processed data

Employee interaction data: metadata of discussions in public Slack and/or Microsoft Teams channels, metadata of employee’s work calendar events, metadata of work emails.

Purpose and justification

The data is processed for the purpose of analyzing collaboration patterns within the organization, to improve collaboration efficiency, organization structure, team dynamics, and the roles and wellbeing of individual employees.

Legal basis for processing

Our company has a legitimate interest to maintain a productive, effectively collaborating workplace and identify where their employees can be provided with development opportunities or support in their work.

Worker's councils and other employee representatives

If you have employees in countries such as German or Finland, you may need to discuss and seek approval from worker's council or other employee representatives. Information you have documented in the DPIA Guidance and Templates usually answers the questions these parties want to review.

Data security

Teamspective takes data security seriously. We are regularly audited for SOC2, and also comply with GDPR, CCPA and the EU AI Act. More details about our operating practices and policies are accessible in Trust Center.

Data delete requests

As an employer of the data subjects, your company is the data controller. Thus employees who want their data to be deleted, should primarily contact the assigned stakeholder within your organization.

Teamspective can process data deletion or other data requests together with your company's Teamspective admin users or other assigned stakeholders.
