Translations for AI generated summaries

Teamspective now automatically translates the contents of our AI summaries (Feedback Summary and Comments Sentiment Analysis) based on the user's language defined in User settings.

This allows users to read the contents of the summary in a language which is most understandable to them. Our AI model is able to read any language to create the summaries so your users can choose to respond to surveys and give feedback in the language which feels most fluent for them.

PDF Export updated for 360 Feedback

The PDF export for 360 Feedback results has been completely updated to include all components of the AI summary, improve legibility of results, see response counts and structure the results based on different templates.

All feedback is completely anonymous so you can easily share this report with the individual. We advise to double-check the amount of responses to make sure lack of feedback doesn't compromise anonymity in specific cases.

New Engagement survey results summary (Slack)

We updated the "Pulse Snapshot" which delivers a summary of survey results and suggested action points to group admins and workspace admins. The new summary is now live in Slack and it includes an updated summary of survey results with relevant AI generated action points based on the results. This helps managers quickly get an understanding of the latest results and nudges them to take action where needed.

New UI for starting Single surveys

The UI for launching Single surveys has been completely updated to make launching the surveys more effective and enjoyable. Templates are easily accessible and selecting questions to the survey has been improved. We are looking to soon enable Targeted surveying which allows selecting groups of users who will receive the survey you are creating 🙌

  • "Stakeholder feedback" template type was renamed to "Feedback from other colleague" in 360 Feedback.

  • Performance fix to AI Feedback Summary to improve quality of the summary.

  • The AI Feedback Summary is now identical in My Activity and the admin's Results view. The summary is based on published feedback only.

  • Self-reflection responses are not counted into Theme score averages.

  • Updates to eNPS KPI and Theme views to improve legibility of results.

  • Questions can now be marked as required / optional in 360 Feedback templates.

  • Feedback Permissions is now Management Permissions and they also impact visibility in Discussions. The new setting page can be found in Workspace Settings.

More granular feedback visibility for individuals

Individuals can now do even more extensive deep dives into their numeric 360 feedback results within their My Activity page. Previously results were only shown on the Theme level.

By activating the setting, you can allow individuals to see question level averages for each template that has been used for gathering feedback. This helps with understanding the scores behind the Themes.

Filters for Discussions

You can now easily find the exact Discussion by using the new filters for Discussions. This is especially useful if you are managing large teams or have visibility to a large amount of employees (as an HR manager would have).

The time range filter allows you to track recent activity and you can focus attention on individuals who haven't documented any notes recently.

  • 360 Feedback themes that do not have any results will now be hidden in the results profiles.

  • You can now disable the "Feedback is ready to be published" notifications. The setting can be found in 360 Feedback settings.

  • Individuals can now always view their self-reflection results in the My Activity page.

Hide default Themes and KPIs in Pulse

Themes and KPIs can now be hidden or only made visible for specific groups of employees. This is especially useful when you are not generating results for certain KPIs or if a KPI or Theme is only important for certain teams. This allows you to fully customize the reporting of engagement results.

Start documenting Team meetings in Discussions

You can now add multiple participants into a Discussion. This allows teams to document their weekly or monthly meetings staying on top of progress, issues with ways of working and any development items.

You can also document meetings with multiple participants, for example HR joining a 1-1 between a manager and direct report. This helps document what was discussed and agreed so that it can be referenced later on. Especially helpful in performance management.

Track your feedback requests easily with the new task list

We drastically improved the UI for tracking your requests inbox and also requests that you have sent to others. This task inbox also includes notifications of new feedback that you have received. No better way to stay on top of your pending requests!

Integrate your Discussions into Slack

Fully integrate your discussion agendas and notes into Slack to stay on top of upcoming and past meetings. Each Discussion can be linked to Slack separately and this creates a private channel for the participants.

New agendas and notes are posted into Slack and comments within Slack are synced automatically to Teamspective. No matter where the communication happens we ensure that it's documented into both places for future reference.

❗ Note: This feature requires you to update your Slack integration. Your Slack admin can do it easily from the integrations page.

Custom Themes for Pulse results

You can now create custom themes and select which Pulse questions are calculated into the theme score. This allows you to create customizable metrics by selecting the exact questions that you want to follow for your specific organizational needs.

Custom questions can also be included into a custom theme which allows you to build fully customized surveys and reporting. Teamspective automatically calculates the score for the new custom theme based on historical survey data.

Search for pending evaluators

You can now search for individual evaluators who have pending evaluations to fill in. This is especially useful when you have hundreds of evaluators and need to find a specific individual who still needs to fill in their requests.

The search also supports searching for teams so that you can filter multiple individuals at once.

Automatic response time extension for evaluations

Resending expired evaluations is a burden for HR managers. This is why we have now added an automatic evaluation rescheduling feature to keep expired evaluation requests open for those late responders.

You can activate the feature and determine a suitable extension period from 360 Feedback settings. Responders will automatically receive new reminders to fill in their pending requests.

  • Increased the custom question max length to 200 characters in evaluation templates.

  • The Chart and Result pages in 360 Feedback were renamed to Grid and Table to better describe the format in which the results are displayed.

  • Updated the email copy for external evaluation notifications to include evaluee name in the subject line and a custom message into the body of the email.

  • Performance improvements for calculating and displaying pulse results.

Updates to our DPA, Terms of Service and InfoSec Policy

Updates to DPA

Effective: August 1, 2024

The DPA is amended with these terms as applicable:

  • Description of the processing (Annex II):

    • New addition: Other data from third parties that you direct to transmit information to us. Such third parties may include, for example, HR software applications.

    • Expanded details: Personal data may be processed for the following purposes: (i) to provide and improve the Service provided customer in accordance with the Main Agreement; (ii) processing initiated by Users in their use of the Service; (iii) to comply with other reasonable instructions provided by Customer (e.g. via email or support tickets) that are consistent with the terms of the Main Agreement and this DPA, and (iv) to comply with any legal obligation under applicable law, including Data Protection Law. Where data benchmarking is provided as part of the Service requested by Customer, Customer Data may also be aggregated with other customer’s Customer Data for the purpose of analysing overall trends, to compile anonymized benchmarking reports and statistics requested by Customer in connection with its use of the Service, in accordance with the Main Agreement.

  • Security Measures (Annex III):

    • Expanded Details: Teamspective commits to comprehensive security measures to safeguard data, including both technical and organizational protocols:

      • Data Encryption: All personal data is encrypted both at rest and in transit using advanced encryption standards.

      • Access Control: Access control policies, including role-based access and multi-factor authentication, are enforced to ensure only authorized personnel can access sensitive data.

      • Monitoring and Logging: Continuous monitoring of systems and logging of access and activities to detect and respond to security incidents promptly.

      • Audits and Assessments: Security audits, vulnerability assessments, and penetration testing are conducted to identify and mitigate potential risks.

      • Data Integrity and Availability: Measures are in place to ensure data integrity and availability, including regular backups and disaster recovery plans.

      • Employee Training and Awareness: Ongoing security awareness and training programs for all employees to foster a culture of security, including specialized training in incident response and adherence to our incident response policies

      • Our comprehensive security documentation, which outlines our technical and organizational security measures, is available for review at https://trust.teamspective.com

  • Sub-processors (Annex IV):

    • New addition: Kombo

    • New addition: Render

    • New addition: Solarwinds

    • Clarified Scope: Microsoft

      • Data analysis in Azure web services, including Azure OpenAI. The results of analysis on Customer data, combined or otherwise, are not shared with other customers or third parties – only processors strictly necessary to provide this service to the Customer in accordance with the DPA. Teamspective may use the results of analysis to improve the product. The Customer may opt out from AI-driven data analysis and use the product without AI-enabled features.

  • Sub-processor authorization period (7.7):

    • Change of Scope: Changed sub-processor authorisation period from 30 days to 14 days.

Updates to Terms of Service (effective: August 1, 2024)

The Terms of Service is updated to better reflect current Teamspective services, and amended with these terms as applicable:

  • Confidential Information:

    • New Addition: The new version explicitly defines and addresses the handling of Confidential Information, including the obligations of both parties to protect such information and circumstances under which disclosure is permitted.

  • Data Privacy and Processing:

    • Clarification: The new terms emphasize Teamspective's role as a data processor and the Organization's role as a data controller. There's a clearer process for handling personal data requests through the Organization.

  • Intellectual Property:

    • Expanded Details: The new version elaborates on intellectual property rights, specifying that Users retain ownership of their data while Teamspective holds rights to the Service’s intellectual property.

  • Licensing and Restrictions:

    • New Restrictions: Additional prohibitions against reverse engineering and creating similar services have been explicitly stated.

  • Liability and Indemnification:

    • Clarified Scope: Liability limitations are clearly defined, specifying conditions under which they do not apply, such as willful conduct or gross negligence.

  • Communication and Notifications:

    • Notification Procedures: There are more detailed provisions about how Users will be notified of changes to the Service or Terms, including advance notice for material changes.

  • Miscellaneous:

    • Force Majeure and Assignment: The terms for force majeure events and the assignment of subscriptions are elaborated, detailing conditions beyond reasonable control and transfer of subscriptions during corporate changes.

Updates to Information Security Policy (effective: August 1, 2024)

The Information Security Policy is updated to better reflect current Teamspective security practices. These updates have been designed to provide better protection for your data and enhance our overall security posture.

We are committed to maintaining the confidentiality, integrity, and availability of all information under our care. The most significant changes have been amended with these terms as applicable.

    • New: Specific training programs for our employees who are the cloud service users and managers, addressing standards, risks, and legal considerations.

    • Improvement: Regular updates and reminders of security responsibilities through multiple channels, including email and Slack.

    • New: Explicit requirements for secure remote access using encryption and multi-factor authentication.

    • Improvement: Enhanced guidelines for protecting login credentials and ensuring remote devices meet security standards.

    • Improvement: Detailed protocols for reporting incidents and handling stolen devices promptly.

    • Improvement: Regular review and verification of software licenses and intellectual property protections.

  • Updated Disciplinary Processes:

    • New: Clear steps for addressing security breaches, from verbal warnings to potential termination.

    • Improvement: Structured corrective actions to prevent recurrence of security issues and ensure consistent enforcement.

  • Cloud Computing Security:

    • New: Detailed security requirements for cloud services, including mitigation of risks associated with authorized insiders and multi-tenancy.

    • Improvement: Enhanced communication channels and support for cloud service customers during security incidents.

  • Policy Accessibility and Review:

    • New: Policies are now accessible at all times via our compliance automation platform, Drata.

    • Improvement: Annual reviews and updates to all ISP policies to ensure they meet the latest security standards.

AI Feedback Summaries

Teamspective's AI now automatically generates summaries from the open (text format) feedback published to individuals when using 360 Feedback.

This is especially useful when an individual starts to have a lot of feedback and it gets hard for them and their manager to understand how to benefit from it. This feature uses 2 frameworks to create the summaries and make them as actionable as possible:

Custom emoji sets for surveys and scale questions

You can now select which emoji set you want to use for your organization when users respond to surveys or scale questions in Slack / Teams.

This setting will only be visible in Workspace settings for workspaces that have either Slack or Teams integration.

Status of individual evaluations in results table

The status of individual evaluations is now visible in the Evaluation results table. This helps to quickly sort which individuals have pending requests and who's feedback still needs to be published.

  • Green circle: all requests evaluating this person have been completed

  • Orange open circle: some pending requests remain

  • Pending: all pending requests remain

  • No status: all requests have been completed and all new feedback has been published.

⚡️ Bug fixes and smaller improvements

  • External evaluations can be now requested from existing Teamspective users in other workspaces.

  • Stakeholder evaluation is a new evaluation type in 360 Feedback which can be used in evaluation templates alongside the existing types (manager-to-employee, peer-to-peer, etc).

  • Discussions AI: Comments are now directly linked to Notes forming threads within the discussion timeline.

  • Update to selection buttons in Slack and Teams when filling in surveys or evaluation requests: the copy text is now placed inside the button to improve UX.

  • BugFix: fix issue when pulse could end up in "deadlock" state where single round nor automated pulse could be started.

Polish and French translations supported in Pulse

We have added both Polish and French as new translations for Pulse questions. Users can select their preferred language from User Settings and this will be applied to Teamspective's pulse questions.

New Evaluation scores

We updated the Evaluation average scores for individuals in 360 Feedback. These scores are calculated when scale questions are assigned to specific themes. In the example there are 2 themes: Performance and Collaboration. These scores can be activated / deactivated for individuals depending on your organization's preferences from Workspace settings.

This update included:

  • More granular scores based on the evaluation types: manager-to-employee, peer-to-peer, etc.

  • We added the workspace average score to give perspective.

  • An UI update with new layout and colors.

  • HRIS integration: Groups which are automatically synced via an HRIS integration are now labeled with a link icon in the Groups page within Workspace settings.

  • Custom guidances can now be created for custom questions.

New workflow for sending Evaluations requests

We improved the workflow and UX for sending new Evaluation requests. The new workflow has 2 stages:

  1. Select people (or teams) to be evaluated, and choose the correct templates.

  2. Assign the correct evaluators (people receiving the requests).

New UI for viewing and publishing Evaluations results

We improved the UI for viewing and publishing individual Evaluations results to make it easier to:

  • find feedback per evaluator

  • see new, unpublished results

  • moderate and publish new feedback to individuals

Anonymous Chat (formerly Management Feedback)

The Anonymous Chat feature (formerly Management Feedback) is perfect for creating a safe channel for employees to reach out with any types of concerns.

With this feature you are able to:

  • allow employees to send anonymous feedback or reach out anonymously with sensitive topics,

  • continue an anonymous discussion with the employee who reached out - this allows you to learn more context or help guide the employee forward, and

  • guide employees to reach out to specific individuals within your organization with specific concerns or feedback.

New add-on Discussions now available!

With the new Discussions feature users are now able to start documenting 1-1 discussions directly in Teamspective. This includes

  • setting up an agenda,

  • documenting notes & action points, and

  • agenda templates, which can be managed by workspace admins.

Discussions is now in free Beta and we invite customers to join testing the feature and sharing feedback. Just reach out to your customer success manager or via the Intercom chat and we'll make it available in your workspace :)

Custom Evaluations Templates

Workspace Admins are now able to create an endless amount of unique Evaluation templates to fit any specific use case for collecting feedback.

Some example use cases:

  • quarterly performance review

  • trial period checkpoint

  • bi-annual feedback round

  • manager assessment

See a list of Evaluation Requests in Slack / Teams

You are now able to see all your pending Evaluations requests in one view directly in Slack or Teams. Feel free to decide when to respond to which request! The notification updates automatically once you start completing your requests.

AI Sentiment Analysis can be self-enabled in the app

This feature automatically analyses all your Pulse Comments so that you can easily notice development ideas and what topics gain attention. You can now enable it directly in the app by accepting the DPA update.

  • The pulse comment reaction or reminder notification now links directly to the specific comment in the web app.

  • Pulse round timestamp bug fixed when resuming pulse schedule.

  • Evaluation request email reminders now link directly to the My activity page with Take action list open.

  • The Evaluations Theme is written before the actual question in the Slack and Teams evaluation questionnaire.

See all Feedback & Evaluation Requests in the Task List

You are now able to see all your pending Feedback & Evaluations requests in one view on the Home and My Activity pages. Feel free to decide when to respond to which request!

Every 4 Weeks as New Option for Automated Pulse

We added "Every 4 weeks" as a new cadence option for the Automated Pulse scheduling. This gives you one additional frequency which might be more suitable for your organization.

Re-launch expired evaluation requests

You can now re-launch any or all expired evaluation requests. Select the requests and assign a new deadline to reschedule. If some expired requests aren't valid anymore, you can also delete these from the list.

See pulse response rate in real-time

You can now see the pulse response rate in real-time while the round is running. This information is located along side the deadline information in both Automated and Single Round scheduling.

HRIS integrations via the Kombo platform

Teamspective has now partnered with Kombo to allow setting up HRIS integrations self-serve within the workspace. This will allow you to sync your users and teams automatically with the data in your HRIS system and removes manual user and team management in Teamspective.

AI Sentiment Analysis for Pulse comments

We have launched our AI Sentiment Analysis feature for Pulse comments 🎉 This feature automatically analyses all your Pulse Comments so that you can easily notice development ideas and what topics gain attention.
