How often are automatic Engagement survey reminders sent out?

Quick Summary  

Teamspective sends automatic reminders based on how long the survey is open. Most short surveys only have time for two reminders (1 day before and 1 hour before closing). Longer surveys get additional reminders every other day leading up to closing. Reminders are only sent to users who have not yet responded to the survey.

Reminder schedule

Teamspective uses this logic to send reminders to users who have not yet responded to the survey:

- 1 hour before closing — sent if there’s ≥ 4 hours remaining before closing when the reminder would go out.  

- 1 day before closing — sent if there’s ≥ 24 hours remaining before closing when the reminder would go out.  

- Every 2 days before the “1 day before” reminder (up to 4 reminders) — each extra reminder is scheduled only if it still leaves ≥ 24 hours for answering.

Typical outcomes

- Most recurring surveys: Only the 1 day before and 1 hour before reminders fit in the window.  

- Longer single surveys: Reminders go out every other day, starting roughly 9 days before closing, then 7d, 5d, 3d, 1d, and the final 1h (subject to business-hours rules below).

Business-hours & weekend adjustments

- If a reminder would fall on a weekend or outside working hours, it is moved back to the nearest working time.  

- This shift cascades backward: earlier “every-other-day” reminders are re-anchored 48 hours before the newly scheduled time.  

- Exception: The final 1-hour reminder is not moved — it stays at T-1h.

> Q: Do all Engagement surveys follow the same reminder logic?  

> A: Yes. All Engagement surveys use the same schedule and business-hours rules.

> Q: Why did we get only two reminders?  

> A: Your survey window likely wasn’t long enough to fit the extra every-other-day reminders with the required ≥ 24h answering time.

> Q: What if the 1-hour reminder would be outside working hours?  

> A: It’s still sent at T-1h (the business-hours rule doesn’t apply to the final hour reminder).

> Q: If I have already responded, will I be reminded?

> A: No, reminders are only sent to users who have not yet responded to the survey.
